Voxalytics Privacy Policy

This Privacy Policy explains how Voxalytics collects, uses, and shares information when you use the Voxalytics mobile application and related services.

If you use the Services through an organization, that organization may control your account and recordings. Please direct privacy questions to your organization first.

Information we collect

  • Account details such as name, email address, organization, and role.
  • Session details you enter, such as session name, type, or notes.
  • Content you upload or share, such as audio recordings, transcripts, and files.
  • Support and feedback messages, including any email address or contact details you include.
  • Audio recordings captured in the app and associated metadata (date/time, duration, device, upload status).
  • Transcripts and analysis results generated from recordings.
  • Optional location snapshots captured at the start of a session if you enable location permissions.
  • Device and usage data such as device type, OS version, app version, IP address, and basic diagnostics.
  • Push notification tokens so we can send status updates and alerts.

Audio recording consent

  • The Services require your explicit consent to access the microphone and record audio.
  • You can grant or revoke microphone access through your device settings.
  • You are responsible for obtaining any required consent from other participants before recording.

How we use information

  • Create and manage accounts and organization access.
  • Record, upload, store, transcribe, analyze, and display session content.
  • Deliver notifications about uploads, transcription status, and updates.
  • Provide customer support and respond to requests.
  • Monitor reliability, prevent abuse, and maintain security.
  • Comply with legal obligations.

How we share information

  • We do not sell personal information.
  • We share information with service providers who help run the Services (cloud hosting, storage, transcription, analytics, communications).
  • Organization administrators may access data to manage accounts and sessions.
  • We may share information for legal reasons or in a business transfer.

Data retention

  • We retain information for as long as your account is active or as needed to provide the Services.
  • You or your organization can delete recordings or transcripts in the app.
  • Backup copies may be retained for a limited period for recovery, security, and legal compliance.

Your choices and rights

  • Depending on where you live, you may have rights to access, correct, delete, or export your information.
  • You can control permissions in device settings (microphone, photos, location).
  • You can disable notifications in device settings.
  • You can request deletion by contacting us.

GDPR / UK GDPR

  • Lawful bases: contract (provide the Services), consent (audio recording and optional permissions), legitimate interests (security and reliability).
  • Rights: access, correction, deletion, restriction, portability, and objection.
  • You can withdraw consent at any time; withdrawal does not affect prior processing.

Children's privacy

  • The Services are not intended for children under 13.
